Studio Remote Working Protocol


Please adhere to the following guidelines regarding our Studio Remote Working Protocol:

PRE-WORK PREPARATION
• Please check that you are fully operational and you have all logins to be able work seamlessly and uninterrupted. (If you are using studio equipment, check that you have mouse, keyboard, computer, monitor (optional).
• Check that you are aware of all passwords: WeTransfer, Radar, Vimeo; Outlook, Shutterstock, Getty, VPN access and Server access.

• Check that you have Microsoft Teams installed onto your desktop/laptop and mobile device.
• Check that you have access to your OneDrive account – 1TB limit.
When placing files within this and sharing with the wider teams – be aware that there may be a time lag due to syncing of files.

• Log in to Radar, to check your tasks for the following day. All work related comms – communicate through Radar and not Teams!
• Download all relevant work for the day either the night before or pre-9am and save it locally. Be mindful when savings files back to the server in the evenings of any time delay.

WORK PROCEDURE
• Use OneDrive to backup your work. Sharing access with the relevant Client Services’ team member for reviewing throughout the day (optimised PDFs, do not try to email 200mb PDFs; if they need to be that large – WeTransfer them and share the link!) – share via web access to shared links.
• Video team should have appropriate easy access to upload video ‘proofs’ via Vimeo or WeTransfer links. Be clear if this is the FINAL file.
• Do not work directly on to the server, as heavy traffic will cause network outage or band width issues.
• As part of our QA process, please ensure you do not send any creative work (Copy/Motion/Video/Design) to the Client Services’ team without an internal review (Jez/Rintje/Cav [Collaborator]). Make sure Jon is aware of this too, just in case he is chased for the work!
• Ensure at least 2 x team MS Teams check-ins per day (no matter how minimal): 08.45hrs (Mon-Fri); 12.30hrs (Friday only – due to Virtual Pub!) & 17:15hrs (Mon-Thurs). Check with CS team that they are happy with the output, especially if they are expecting something at the end of the day! Do not send, shut down and run!
• Save files onto the server overnight and not during the day this includes all source files (especially larger PSDs etc.). Please check that your machine does not go onto standby or disconnect from the internet when idle, as this will cause the transfer to fall over.
• We also need an end of day email from each team member, highlighting what they've done, and to confirm/checklist that files are back where they should be.

PLEASE ENSURE NOTHING IS SAVED ONLY ONTO YOUR DESKTOP. EVERYTHING SHOULD BE ACCESSIBLE TO EVERYONE, JUST IN CASE SOMEBODY SHOULD BE UNAVAILABLE TO CONTINUE WITH A PARTICULAR TASK/JOB/CONCEPT! ALL SERVER FILES ARE BACKED UP OVERNIGHT, ENSURING THAT NO WORK WILL BE LOST.
