Best practice guidance for collaborating with the copy team to ensure collaboration, quality, and efficiency.

Scheduling

Client Services to ensure one of the following task categories is clearly stated in the task section:

  • Strategic copy task – e.g. messaging frameworks, propositions, campaign overviews/narratives, pitch/proposal decks
  • Creative copy task – e.g. campaign concepts, adcepts, creative themes/rationales
  • Copywriting task – e.g. campaign copy, tactical messaging, proofreading

This will ensure the resourcing team understands requirements and where the resource should be allocated and what collaboration might be needed.

If the team is creating a task where project support has already been assigned, e.g. they raise a design task for the roll-out of a concept Rintje worked on then they should make this clear to support Jon.

Resourcing – strategic copy tasks

If not directly owning the task, either Rintje Barnes, Ali Dodd or Matt Rippon will be assigned as a collaboration partner.

Responsibilities:

  • Jon – When assigning a task make sure in the task thread it is communicated to the Client Services owner who the project support will be.
  • Client services – When arranging briefing calls/meetings make sure the project owner and collaboration partner are both on the call/receive the brief.
  • Studio task owner – Make sure they understand who is supporting them on the task, the check-ins that have been agreed upon within the studio team, and what the stages of sharing WIP with Client Services will be.

Resourcing – creative copy tasks

If not directly owning the task, either Michael Cavanagh or Rintje Barnes will be assigned as a collaboration partner.

Responsibilities:

  • Jon – When assigning a task make sure in the task thread it is communicated if anyone needs to join the briefing meeting.
  • Client Services – Invite project support to brief/check-in meetings if you have been communicated that there is a collaboration partner on the project.
  • Studio task owner – Share your work with your collaboration partner as agreed (if one is assigned).

If no partner is assigned, all work should be shared with either another copy team member before sharing with Client Services. To do this please assign the task on Radar directly to them with clarity about support/review requirements. It is your responsibility to make sure this is done promptly and the input is gathered at the right stage in the task so the deadline can still be achieved.

Resourcing – copywriting tasks

Responsibilities:

  • Studio task owner – All work should be shared with a colleague in the copy team before sharing with Client Services. To do this please assign the task on Radar directly to them. This review will be done purely to check consistency and grammar. It is your responsibility to make sure this is done promptly and the input is gathered at the right stage in the task so the deadline can still be achieved.
